Top 5 Mistakes New Notaries Make (and How to Avoid Them)

ree

Starting out as a notary is exciting—you’ve just earned your commission, and you’re ready to help people. But with that excitement can come mistakes. The good news? Most of these mistakes are common and completely avoidable if you know what to watch for.

At Notary Training Network, we’ve trained countless new notaries, and here are the top five mistakes we see (and how to sidestep them):

1. Skipping Proper ID Verification

It might feel awkward to scrutinize someone’s ID, especially if you know them, but failing to follow proper identification procedures can lead to fraud or invalid documents. Always follow your state’s rules—no shortcuts.

2. Not Keeping a Journal

Even if your state doesn’t require it, a notary journal is your best protection if your notarization is ever questioned. A detailed record of each signing provides proof you acted correctly.

3. Ignoring Law Changes

Notary laws can change without much notice. Staying current through training, newsletters, or state updates ensures you don’t accidentally break the law.

4. Undercharging or Overcharging

New notaries often don’t know their fee limits. Undercharging undervalues your work, and overcharging can get you in trouble. Learn your state’s fee schedule and stick to it.

5. Trying to “Go It Alone”

Many new notaries feel they should figure things out on their own, but mentorship accelerates your growth and gives you confidence. Don’t be afraid to join a network or training group.

How to Avoid These Mistakes

  • Stay consistent with education.

  • Develop systems for every signing (checklists, journals, ID verification steps).

  • Know your worth and your limits.

  • Build a support system—mentors, peers, and training resources.

Mistakes are part of learning, but they don’t have to define your career. With the right tools and support, you can start strong and grow your notary business with confidence.
